My client, a German investment firm aims to invest in pioneering products and services leveraging disruptive digital technologies in the hospitality, food and retail sectors. It is head-quarterd in Munich with satellite offices in Paris and Düsseldorf and currently consists of 10 people. For the Munich office I am searching for a full-time
Office Manager (m/f/d)
Main tasks
Office Management
- Acting as a personal assistant to the executive team
- Providing office support including external partners’ and employees’ support across multiple offices
- Keeping well-organised files and records of business activity
- Researching company data and archived reports, keeping computer databases up to date
- Ordering office stationery and other supplies
- Preparing documents by printing, copying, and binding
- Assisting with minor technical support
- Making travel arrangements for employees and filing travel expenses
- Selecting and managing service providers, e.g. cleaners, suppliers, etc.
- Scheduling appointments and events
- Preparing meeting rooms by setting up chairs and getting refreshments
- Participating in office meetings and taking meeting minutes
- Giving feedback on office efficiency and suggesting possible improvements
- Being ready for other administrative tasks, e.g. collecting and inputting company data
Reception
- Interacting with external visitors either on the phone or in person
- Answering phone calls and connecting callers; taking phone messages and passing them on
- Writing and editing company correspondence; collecting and sorting post
Book Keeping
- Following up on business communications, billing and ordering
- Invoicing
- Using spreadsheets to track expenses and company spending
Key Skills and Experience
- Abitur (relevant bachelor degree would be a plus);
- Previous experience in Office Management, Reception, Filing, Bookkeeping, Order Management, Invoicing, Billing and Reporting;
- Proficient in accounting, business law, marketing, international business;
- Financially numerate with ready knowledge of Microsoft Office;
- Strong prioritization skills and organizational skills;
- Excellent communications skills, including listening, confidentiality and discretion;
- Detail, goal and quality oriented;
- Genuine and demonstrable experience and interest in our focus sectors;
- Desire and interest to work in the investment industry;
- Self-starter, prepared to work under own initiative;
- Fluency in German (native speaker) and English is a must; Proficiency in French is desirable
